Safeguarding Policy

1. PURPOSE

This policy sets out how Hartlepool Rambling Club promotes the safety and well-being of all members, visitors and guests.   It outlines responsibilities, reporting procedures and expected standards of behaviour during all Club activities.

2. SCOPE

This policy applies to:

  • All Club members

  • Guests attending Club activities

  • Any activity organised under the Club's name

 

3. OUR COMMITMENT

We aim to:

  • Promote a culture where everyone feels safe, valued and respected.

  • Take concerns seriously and respond appropriately.

  • Reduce risks during walks and activities through good planning and communication.

  • Ensure all members understand their safeguarding responsibilities.

4. CODE OF CONDUCT

All members are expected to:

  • Treat others with dignity, kindness and respect.

  • Avoid behaviour that could be perceived as harassment, bullying, or discrimination.

  • Communicate clearly and considerately, including online.

  • Follow the instructions of walk leaders, especially regarding safety.

  • Respect personal boundaries and privacy.

Walk leaders must:

  • Carry out basic risk assessments for walks

  • Ensure participants are briefed on route difficulty, hazards and required equipment

  • Carry a mobile phone and basic first aid kit

  • Ensure no-one is left behind or isolated

5. SAFEGUARDING CONCERNS

A safeguarding concern may include:

  • Behaviour that makes someone feel unsafe or intimidated

  • Signs of neglect, abuse, or exploitation

  • Inappropriate behaviour during Club activities

  • Concerns about a vulnerable adult attending a walk

  • Unsafe conduct on walks

If you have a concern:

(a) Report it as soon as possible to a committee member

(b) Record what you have observed using factual, objective language

(c) Do not investigate, confront individuals or promise confidentiality

The Committee will assess the concern and, where necessary, seek advice from relevant authorities.

6. RESPONDING TO EMERGENCIES

In any situation where someone is at immediate risk of harm, members should contact 999 without delay.   Walk leaders should ensure emergency contact details and basic first-aid provisions are available on all walks.

7. DATA PROTECTION

Any safeguarding records will be stored securely, shared only with those who need to know, and retained in line with legal requirements.

8. REVIEW

This policy will be reviewed annually by the Committee or sooner if legislation or club activities change.
